Whether you’re a small club just starting out, or a large, well-established club that’s been around for years, this presentation will provide some ideas and describe some tools for better managing club members – practically, if not politically, that is.   

Basics

There are some basic functions all clubs need to keep track of:

  • Up-to-date list of members in good standing
    • Dues paid
    • Registered Democrat
    • Occupation, employer
  • List of members eligible to vote
    • May be different to good-standing depending on when they joined the cub, or how many meetings they’ve attended
  • Email system that tracks emails delivered, or bounced
    • Important for noticing requirements
  • Attendance or sign-in sheets 
    • Voting rules in club bylaws may require tracking 
    • Update email list with guest emails
  • Record of dues paid
    • Cash, check, credit card, online
    • Update email list with new members

Communications

  • Simple email limits on number of recipients
    • Gmail, Google Contacts
  • U.S. CAN-SPAM Act– FTC regulations
  • Campaign Monitor, Constant Contact, Emma, MailChimp
    • You must confirm where you got your contacts
    • An unsubscribe link must be in every email
    • You must include your contact information in every email you send, including a physical mailing address or P.O. Box where you can receive mail
    • You may not falsify your contact information or subject line
    • You’re subject to the terms of use for any integration or connected e-commerce platform you use
    • Emails you send through these systems must comply with the U.S. CAN-SPAM Act

Dues

  • At meetings
    • Cash, checks
    • Credit/debit cards – Square, PayPal
  • Online payments
    • Square, PayPal, ActBlue, Stripe
  • Stripe
    • Integration with websites, other tools

Event Tracking

  • Calendar of Events
  • Integration with Google Calendar – subscribe
  • Push events to Facebook/Twitter – easy ticketing
  • Sync events to the County Democratic Party Calendar
  • Sync attendees to MailChimp

Clubs have to follow certain rules when endorsing candidates. Those rules are captured here, and we’ll spend a few minutes to review.
